Now we look for a HR Administration Specialist to join our team.
We are seeking a detail-oriented and proactive HR Administration & Systems Specialist to support and enhance our core HR operations. The ideal candidate will manage HR administration processes end-to-end while ensuring data accuracy, compliance, and strong collaboration across HR, payroll, employees and external partners.
Key Responsibilities
- Prepare all required documentation (incl. employment & migrations documents) for migration authorities, coordinate with migration agents, and ensure timely follow-up and reporting on all application cases;
- Consolidate data from multiple HR and finance sources to prepare accurate monthly pre-payroll reports, validate inputs, and resolve discrepancies with stakeholders before submission to payroll;
- Manage end-to-end employee enrollment in medical insurance, drive process improvements, and maintain communication with insurance providers;
- Maintain accurate HRIS records, support data updates, and track and keep updated employee information;
- Prepare employment contracts and amendments, including calculating stamp duties to ensure tax compliance;
- Advise and support employees on statutory leave entitlements (maternity, paternity, parental, unpaid leave, etc.), track accruals and balances, and prepare reports for payroll;
- Identify process gaps and propose improvements or automation opportunities to enhance efficiency and employee experience;
- Support HR operations with various administrative and ad-hoc tasks as instructed by the team lead.
- 2-3+ years of experience in HR Operations, HR Administration, or Payroll.
- Strong knowledge of Cyprus Labor Law and migration processes.
- Excellent command of English; Russian or Greek is an advantage.
- Strong communication, organizational, and analytical skills, with high attention to detail.
- Ability to work independently, manage deadlines, and collaborate as a team player.
- Proficient in Excel (data tracking, validation, reporting).
- Experience with JIRA, Confluence, and HRIS systems is a plus, including the ability to propose improvements and prepare technical specifications.
