Responsibilities
People Operations Team Leadership
- Lead, mentor, and capacity-plan for a small team of People Ops professionals and drive a culture of Zero Error, Always On Time and High Agency.
- Establish SLAs for employee inquiries. Ensure that whether a question comes from a Junior Designer or a Director, it is answered with speed, empathy and accuracy.
- Responsible for overall functional and operational excellence including but not limited to improving and enhancing work processes, tools and systems.
- Be an advocate and custodian of Secretlab’s organisation culture and values
HRBP Partnership & Performance Operations
- Own the operational execution of the appraisal cycles. You handle system configuration, timeline management, allowing HRBPs to focus on calibration and quality of feedback.
- Provide operational support for sensitive Employee Relations (ER) investigations. While HRBPs/Legal lead the inquiry, you manage the logistics: evidence gathering, timeline reconstruction, note-taking, and ensuring strict procedural fairness is documented.
- You and your team are the data provider for the HRBP team. You don't just export reports; you analyze trends in attrition, absenteeism, and performance ratings to give HRBPs the "ammunition" they need for strategic discussions with business leaders.
Policy, Compliance & Legal Coordination
- Collaborate with the Legal & Compliance department on Employee Handbooks and Agreements.
- Translate complex legal advice into simple, actionable internal workflows. If a new regulation passes in a jurisdiction we operate in, your job is to figure out how we comply operationally before it is in effect.
- Audit Agreements, Processes, Systems and Practices regularly to ensure they remain updated with the latest business risks and statutory requirements.
Regional Payroll & Financial Control
- Oversee the monthly payroll for three entities. Ensure absolute accuracy and timeliness in salary disbursement, tax filing and social security contributions.
- Apply business acumen to payroll data. Monitor program costs, benefits utilization, and travel spend to identify financial wastage and propose saving opportunities.
Mobility, Travel & Spend Management
- Own the Corporate Travel Policy. Balance cost-efficiency with employee safety. Negotiate corporate rates with vendors and audit travel expenses against the budget.
- Lead the team in managing the end-to-end visa, travel and relocation process for employees. Ensure immigration barriers do not slow down business velocity.
Requirements
- 5–8 years in People Operations/Shared Services, with 3+ years managing a team.
- Proficient in Asian employment laws & practices, digital HR tools & systems
- Business proficiency in Mandarin for liaising with Chinese employees and vendors
- Experience supporting HRBPs and TAs in a matrixed environment.
- Sound understanding of the financial impact of HR decisions. Ability to balance rigid compliance with business practicality.
- Exceptional proficiency in your written and spoken English.
