Talent Acquisition Operations Specialist
Position Overview: The Talent Acquisition Operations Specialist plays a critical role in supporting the talent acquisition function with a primary focus of ensuring the successful onboarding of all candidates into the business. This position focuses on managing and optimizing the onboarding process through contract management, background check completion, candidate hiring activity and the collation of relevant onboarding documentation to ensure efficiency, effectiveness, and a positive candidate experience. The specialist collaborates closely with candidates, recruiters, HR teams, and hiring managers to streamline processes, implement best practices, and leverage technology to enhance the overall talent acquisition function.
Key Responsibilities
- Contract management: Responsible for the coordination, administration and successful completion of contracting activity with candidates including meeting with candidates and ensuring contracts are signed in accordance with legal requirements.
- Background check management: Responsible for ensuring that candidates complete all relevant requirements for background checks in accordance with country, client and company requirements - ensuring successful provision of clear criminal certification, qualification evidence, etc.
- Onboarding and hiring: Responsible for the coordination, administration and successful completion of hiring activity onto our HR system and ensuring all onboarding documentation is collated.
- Candidate engagement: Engage directly with candidates using multiple channels to support in their onboarding journey and ensure the timely return of all relevant documentation and information required to complete onboarding activity. Seek to enhance the candidate experience at all stages of the recruitment process ensuring prompt communication, provision of helpful resources, and gathering feedback to continually improve the candidate journey.
- Process Improvement: Identify opportunities for process optimization and implement strategies to enhance the efficiency and effectiveness of the onboarding process. Continuously review and refine recruitment workflows, tools, and technologies to streamline operations.
- Applicant Tracking System (ATS) Management: Oversee the administration and maintenance of the ATS, ensuring accurate data entry, system updates, and compliance with data privacy regulations. Train and support recruiters and hiring managers in utilizing the ATS effectively.
- Reporting and Analytics: Develop and maintain recruitment metrics and analytics reports to assess the effectiveness of talent acquisition strategies, identify trends, and provide actionable insights to stakeholders. Utilize data-driven approaches to optimize recruitment processes.
- Vendor engagement: Coordinate relationships with external vendors such as background check providers, relocation services and other talent acquisition service providers.
- Compliance and Policy Adherence: Stay up to date with labor laws, regulations, and best practices related to talent acquisition. Ensure compliance with all relevant laws and company policies throughout the recruitment process, including candidate screening, interviews, and job offers.
- Training and Support: Support with the creation of training materials, workshops, and resources to educate recruiters, hiring managers, and other stakeholders on talent acquisition processes, best practices, and tools. Provide ongoing support and guidance to ensure adoption and adherence to established processes.
- Project Management: Participate in projects relating to process improvement and automation.
- Audit activity: Support with the collation and presentation of information and documentation required for internal, client or regulatory audits.

- Proven experience in a similar role in People Operations or Talent Acquisition..
- Proven experience of onboarding including management of hiring/contract activity, background check completion, and the management and collation of essential onboarding documentation.
- Experience in a fast-paced, volume based, dynamic environment.
- Familiarity with applicant tracking systems (ATS) and proficiency in utilizing HR software and reporting tools.
- Organized and analytical mindset - experience of utilizing spreadsheets to track activity.
- Strong communication, interpersonal and influencing skills to collaborate effectively and engage with candidates.
- Strong attention to detail, organization, and problem-solving abilities.
- Understanding of employment laws, regulations, and compliance best practices.
- Experience with process improvement methodologies and a commitment to continuous improvement.
