We are looking for a proactive Project Manager to support delivery operations for US-based finance
customers. This role serves as the central coordination point between customers and internal teams,
owning onboarding/offboarding, compliance, reporting, and operational communication to ensure smooth and compliant delivery in a fast-paced finance environment.
Work location & schedule
- Training period: 3-6 months onsite in the U.S., full-time in U.S. business hours
- After training: Based in Vietnam, working VN hours (8 AM-5:30 PM, Mon-Fri)
- Meetings: 3-5 meeting hours per week in U.S. time (evening in VN)
1. KEY RESPONSIBILITIES
- Must possess a great social and can-do attitude and be able to speak and understand English
- Resource & Delivery Management:
- Own the end-to-end onboarding process for resources assigned to customers, including coordination with internal teams to ensure access, documentation, system setup, and readiness before start date: Manage offboarding and contract closure processes, ensuring all administrative, system, and compliance requirements are completed accurately; Monitor resource allocation, status, and availability to ensure continuous service delivery to customers; Act as the primary point of escalation for delivery or operational issues related to resources, proactively identifying risks and driving resolution.
- Project Coordination & Stakeholder Management: Serve as the main operational contact point for customers regarding delivery status, compliance, reporting, and billing matters; Coordinate closely with US stakeholders, customers, and internal teams to ensure alignment on scope, timelines, and expectations; Proactively escalate risks, issues, and bottlenecks, propose solutions, and drive corrective actions to ensure smooth delivery; Facilitate cross-team collaboration to ensure customer commitments are met.
- Documentation & Compliance Management: Own and manage critical documentation including NDAs, Statements of Work (SOWs), compliance forms, and customer-specific requirements; Ensure all operational processes comply with internal policies and customer compliance standards; Track compliance status of resources (training, documentation, mandatory requirements) and ensure timely completion.
- Reporting, Analytics & Operational Insights: Design, build, and maintain Atlassian Jira dashboards and reports to track delivery performance, compliance status, and operational KPIs; Produce and deliver weekly, monthly, and quarterly reports for customers and internal stakeholders;Develop customized business and compliance reports that provide actionable insights, not just data; Continuously improve reporting structures to support decision-making and operational transparency.
- Communication & Coordination: Serve as a key communication liaison for our internal resources regarding timecards, compliance items, holidays, mandatory training, and HR-related items; Communicate weekly, monthly, and quarterly reporting directly to customers; Prepare and send invoice reports weekly to ensure timely and accurate billing.
- Financial & Billing Coordination: Prepare and send weekly invoice reports, ensuring accuracy, completeness, and alignment with SOWs and customer agreements; Coordinate with finance and customers to resolve billing discrepancies in a timely manner.
- Team Leadership & Process Improvement (Growth Scope):Depending on performance, lead and manage a delivery/operations team in Vietnam, the US, or both; Set clear goals, assign tasks, and monitor performance of team members; Identify process gaps, inefficiencies, and risks; propose and implement continuous improvement initiatives; Contribute to standardizing operational processes and best practices across regions.

2. JOB QUALIFICATIONS
- At least 5 years of experience at PM position.
- Proven experience in project coordination, delivery operations, or client-facing roles, preferably in a fast-paced, multi-stakeholder environment; Experience working with US or global customers is a strong advantage.
- Ownership & Execution Excellence: Strong ability to own tasks and outcomes end-to-end, managing multiple priorities while meeting deadlines and quality standards; Highly organized with strong attention to detail, without losing sight of overall delivery objectives.
- Stakeholder Communication:Excellent verbal and written English communication skills, with the ability to clearly communicate status, risks, and solutions to customers and internal stakeholders.
- Confident in managing expectations and navigating conversations across different cultures
and time zones.
- Reporting & Data Orientation: Hands-on experience in building, maintaining, and analyzing reports, with strong proficiency in Atlassian Jira reporting; Ability to translate data into operational insights and actionable recommendations.
- Problem-Solving & Decision-Making: Strong analytical thinking and judgment, capable of identifying issues early, proposing solutions, and driving resolution; Comfortable making decisions within scope and escalating with context and recommendations when necessary.
- Systems & Technical Adaptability: Quick learner with the ability to effectively use internal systems, customer portals, and project management tools; Comfortable working in structured yet evolving operational environments.
- Global & Team Collaboration: Proven ability to work effectively in cross-functional, global teams; Potential to lead or support team operations across Vietnam, the US, or both, depending on performance and business needs.
