HR Coordinator โ€“ KSA

GenTa International is Professional Employer Organization (PEO) specialising in International Mobility and Human Resources Outsourcing services in the Middle-East, Africa & Levant. With presence in more than 10 countries, we have just launched our activities in Saudi Arabia.

In Saudi Arabia, our main activity is to provide Employer of Record (EoR) services meaning that when a company wishes to operate within the country without establishing its own legal entity, we employ their workforce under our sponsorship (visa, working contract, HR lifecycle and payroll management).

We also offer HR functions support to our clients such as Sourcing and HR support for business (Visa PR and payroll management).


Role Overview:

We are looking for a HR Coordinator to support all administrative tasks internally and with local authorities and at all stages of the employeesโ€™ HR lifecycle. This role will also have an account management aspect; for clients allocated, the HR coordinator will serve as the main Point of Contact to the client and its employee(s).

Based at our offices in Riyadh, the HR coordinator will work under the supervision of our Head of Operations for the Middle East who is based in Dubai (UAE). In KSA, the HR coordinator will be member of a growing team and in presence of GenTa KSA country manager.


Responsibilities:

  • Possess comprehensive knowledge of Saudi labor laws and immigration regulations, particularly in relation to work permits, residency visas (applications, renewals, cancellations), employment contracts, and end-of-service procedures. The candidate will be responsible for handling all visa-related processes (managing the applications and submission of necessary documents on governmental portals).
  • Collaborate closely with the company GRO to complete all required tasks on time, proactively anticipating and addressing potential issues, and escalating concerns to senior management as needed.
  • Act as the main point of contact for consultants, managing all administrative, HR, and visa-related inquiries. This includes handling expense claims, managing leave, and overseeing all steps required for operations, including onboarding and offboarding processes (by using available templates: drafting employment offers/contracts, termination letters, salary certificates, ...). Liaising with clients when necessary, and with external parties (government bodies, services providers etc) when required.
  • Maintain the HR software with the necessary documents, including register new hires, leave management, and inputting payroll variables such as reimbursements, bonuses, commissions and salary deductions.
  • Process the payroll through Mudad.
  • Ensure all consultant-related documents are properly stored on company servers according to official naming conventions and formats and keep track of all renewable document expiries.


Requirements:

  • 3+ yearsโ€™ experience as HR Coordinator
  • Excellent communication, organization and co-ordination skills for day-to-day business
  • Ability to deal with clients and consultants in a professional and competent manner
  • Able to work under pressure and independently
  • Organizational skills plus the ability to prioritize and meet deadlines
  • Strong interpersonal skills
  • Excellent written and verbal communications skills in English and Arabic
  • Able to work with autonomy
