Position Overview
SWORD Defense Systems is seeking a dedicated Office Manager to oversee daily administrative operations, ensure efficient facility functioning, and provide essential support to executive leadership and internal teams at our Greenville, South Carolina factory.
This role operates within a regulated defense manufacturing environment and supports mission-critical programs across weapons systems, aerospace, autonomy, and training. The Office Manager is responsible for maintaining organized workflows, coordinating resources, and handling a broad range of administrative and support functions to enable smooth business operations while maintaining compliance with company policies and applicable industry standards.
The position works closely with Executive Leadership, Business Development, Engineering, Compliance, and Operations teams to facilitate effective communication, resource management, and operational support in a quality-controlled production setting.
Key Responsibilities
Office Operations and Administration
The Office Manager oversees day-to-day office and factory administrative functions, including scheduling, correspondence, record-keeping, and workflow coordination. This role manages office supplies, equipment, inventory levels, vendor relationships, and procurement processes, while coordinating facility maintenance, repairs, safety protocols, and workplace standards to ensure a secure, compliant, and productive environment. The position also develops and implements office procedures, policies, and systems to improve efficiency and organization.

Executive and Leadership Support
The role provides direct administrative support to senior executives, including calendar management, meeting preparation and coordination, travel arrangements, and expense tracking. Responsibilities include preparing reports, presentations, correspondence, and other materials for leadership review, as well as handling confidential information with discretion and supporting executive communications and priorities.
Team and HR Coordination
The Office Manager may supervise or coordinate administrative support staff as applicable, delegate tasks, and ensure overall team productivity. The position assists with HR-related activities such as onboarding new employees, maintaining personnel records, coordinating training sessions, and supporting benefits administration. The role also helps organize company events, meetings, team-building activities, and industry-related engagements.
Financial and Vendor Management
This position monitors and tracks office-related expenses and budgets for supplies and services, processes invoices and payments, obtains quotes, negotiates with vendors, and maintains supplier relationships to support both office and operational needs.
Compliance, Safety, and Governance
The Office Manager ensures that all office operations comply with company policies, workplace safety standards, and defense industry regulations, including awareness of export controls and restricted information handling. The role maintains accurate records, document control systems, and filing practices in accordance with quality management requirements, and supports internal approval processes, record retention policies, and required compliance or safety training.
Facilities and Logistics Support
The position serves as the primary point of contact for facility-related issues, visitor coordination, and incoming or outgoing shipments as applicable in a factory setting. The Office Manager maintains a professional, secure, and welcoming environment for employees, visitors, and external stakeholders.

Candidates should possess an Associate’s or Bachelor’s degree in Business Administration, Office Management, or a related field, or equivalent professional experience. The role requires two to five years of experience in office management, administrative coordination, or a similar position, preferably within manufacturing, defense, government contracting, or another regulated environment.
Applicants must demonstrate the ability to provide high-level administrative support to executives, including calendar management, travel coordination, and confidential handling of sensitive information. Strong organizational and multitasking skills, attention to detail, proficiency with Microsoft Office applications (Word, Excel, PowerPoint, Outlook), and general office software are required. Excellent written and verbal communication skills are essential, along with experience managing supplies, vendors, budgets, and basic financial tracking. The ability to maintain confidentiality and operate in a professional, compliant manner is critical.
Preferred Qualifications
Preferred candidates will have experience in defense contracting, manufacturing, or quality-regulated environments such as AS9100 or ISO-certified operations. Familiarity with government contracting processes or facility operations in a production setting is advantageous, as is prior supervisory or team coordination experience. Knowledge of basic HR processes or event planning is also beneficial.
