Sr. Recruitment Specialist
The Senior Recruitment Specialist serves as an experienced recruitment professional responsible for coordinating complex recruitment and onboarding activities for physicians, advanced practice providers, and administrative staff. This role functions as a subject matter expert for recruitment processes, ensures a high-quality candidate experience, and supports continuous improvement of recruitment and onboarding workflows.
The Senior Recruitment Specialist provides day-to-day guidance to recruitment team members and collaborates closely with hiring leaders, academic partners, and internal departments to ensure efficient, compliant, and well-coordinated hiring and onboarding processes.
Major Responsibilities/Essential Functions
- Builds effective partnerships with physician leaders and senior administrators, exercising strong professional judgment
- Coordinate all aspects of candidate interviews, including itinerary development, travel and lodging arrangements, stakeholder scheduling, and on-site logistics to ensure a seamless and professional experience
- Partner with hiring managers to confirm interview readiness and onboarding preparation
- Prepare offer documentation and route contracts for appropriate review and signature
- Confirm departmental readiness to support a positive and welcoming new hire experience
- Facilitate onboarding activities for clinicians and designated staff to ensure timely completion of employment requirements
- Coordinate enrollment in orientation and required training activities
- Support regulatory and employment-related processes, including Medicare/Medicaid enrollment, NPI transitions, and provider number assignments
- Maintain accurate and timely documentation within applicant tracking and recruitment systems
- Serve as a subject matter expert for recruitment and onboarding workflows Identify and recommend operational improvements to enhance efficiency, standardization, and service quality
- Coordinate with internal departments (HR, IT, Professional Development, Compliance, etc.) on projects impacting recruitment and onboarding processes
- Serves as point of contact for UME/CME programs to facilitate the onboarding of students for their clinical rotations
- Ensure adherence to organizational policies, regulatory requirements, and confidentiality standards.
- Serve as the primary liaison with vendors, promptly addressing and resolving issues to ensure smooth operations.
- Identifies process gaps and recommends and implements workflow improvements .

- Bachelor’s degree or equivalent combination of education and experience

- Bachelor’s degree in human resources, business, or a related field
- Five to seven years of relevant work experience in Human Resources/Recruiting or related field
- Adaptable and flexible with a strong sense of initiative and follow through

- Strong computer proficiency, including MS Office and demonstrated ability to learn and navigate new software platforms
- Strong written and verbal communication skills
