About The Role
As the Talent Acquisition Operations Manager at inBeat, you'll be the strategic engine room of our recruitment function... the person who makes sure everything runs smoothly so our Sourcers and Talent Partners can focus on finding and hiring exceptional talent. You'll own our recruitment systems (Ashby, Juicebox, LinkedIn & Loxo), build the reports that drive decisions, create the Sourcing Strategy Workbooks that power our searches, and coordinate how we make our most critical hires.

What You'll Be Doing
📊 Systems & Data Management
- Own the administration of Ashby (inBeat ATS) and Loxo (AAG CRM/ATS) — configuration, workflows, permissions, and data hygiene
- Maintain data integrity across both platforms, ensuring accurate candidate records, pipeline stages, and requisition data
- Provide first-line technical support for any ATS/CRM issues or permissions updates
- Identify and implement process optimisations through automation and workflow improvements
- Build and maintain functional reports and dashboards in Ashby & Loxo on fortnightly, monthly, and quarterly cadences
- Create recruitment metrics covering pipeline health, time-to-fill, source effectiveness, and funnel conversion
- Deliver executive dashboards for leadership visibility into hiring progress
- Develop comprehensive Sourcing Strategy Workbooks for every new role briefed into the TA team
- Include Boolean filters, target company lists, EVP-driven messaging templates, and screening frameworks
- Maintain a template library for recurring role types to accelerate future searches
- Coordinate interview scheduling systems for high-priority roles across the Group of Companies
- Manage the complex systems for multi-stakeholder panels, calendar alignment, and candidate communications
- Track interview completion and ensure data from feedback and interviewers is usefully tracked for improvements

- Set up and maintain Slack channels for hiring managers, interviewers, and stakeholders on active searches

- Create, Document & Implement processes, maintaining the TA team's knowledge base
- Support the Head of Talent on employer branding and recruitment marketing initiatives
- Assist with careers page content, social media, and recruitment campaigns
- Coordinate logistics for employer brand events and gather brand assets
- 3-5 years of experience in recruitment coordination, TA operations, or People operations
- ATS/CRM administration experience — ideally with Ashby, Loxo, Greenhouse, or Lever
- Notion proficiency (or similar documentation tools) — you'll live in here
- Advanced spreadsheet skills — you can build reports, pivot tables, and analyse data with ease
- Exceptional organisational skills — you thrive on managing multiple priorities without dropping balls
- Obsessive attention to detail — data accuracy matters to you
- Clear communication — you can coordinate across teams and keep everyone informed
- Tech-savvy — you pick up new systems quickly and enjoy optimising how things work
- Experience building reports and dashboards within ATS platforms
- Familiarity with Boolean search logic and recruitment sourcing concepts
- Slack administration or workflow automation experience
- Background in agency, creative, or marketing recruitment
- Experience supporting employer branding or recruitment marketing
- A keen interest in AI & Agentic Automation
