Location: Remote in CT, DC, FL, GA, IL, MD, MA, NC, NJ, NY, OR, PA, Puerto Rico, TN, TX, VA, and WA (travel in the U.S. for in-person meetings is expected approx. two times a year)

Salary: $83,000 to $90,800 USD gross annually

Duties And Responsibilities

  • Ensure accurate and timely payroll processing and reporting for all U.S.–based employees, partnering closely with Sr. Associate, People Operations and Finance and Accounting.
  • Manage assigned employee relations matters for HQ and U.S. staff, including case support, grievance resolution, and investigation coordination.
  • Oversee federal, state, and local employment reporting requirements (e.g., EEOC and similar filings), ensuring all submissions are accurate, timely, and fully compliant with regulations.
  • Develop, implement, and maintain U.S. and HQ People & Talent (P&T) policies and procedures that reflect best practices and comply with applicable laws and regulations.
  • Identify opportunities to improve P&T processes, streamline workflows, and enhance the employee experience across the organization.
  • Manage U.S. benefits administration in partnership with benefit brokers, including open enrollment and ongoing benefits programming.
  • Support the execution and compliance of pre-employment and onboarding activities, including background checks, OFAC screening, E-Verify, I-9 verification, and new hire People Operations focused orientation.
  • Manage all employee Leave of Absence (LOA) and Americans with Disabilities Act (ADA) accommodation requests, serving as the primary point of contact for staff throughout the process.
  • Lead and administer FMLA, ADA accommodations, and drug testing programs in accordance with policy and regulation.
  • Partner with the VP, Global People Operations to support the design, implementation, and administration of the organization’s performance management strategy, ensuring consistent processes, timely execution, and alignment with business and talent goals.
  • Lead HRIS administration, ensuring accurate data, system efficiency, and optimized user experience.
  • Manage offboarding processes, including preparing separation letters, coordinating communication, and ensuring a smooth and compliant transition experience.
  • Stay current on employment law, HR trends, and emerging technologies to continuously improve People Operations practices.
  • Collaborate with Finance, Legal, and other internal partners to ensure payroll, tax, and compliance matters are handled effectively and accurately.
  • Develop and maintain People Operations dashboards and reports, turning key data into actionable insights.
  • Partner with VP of Global People Operations to proactively address U.S. organizational compliance and audit requirements.
  • Support cross-functional audits with Finance, Accounting, and IT to ensure integrity of people and payroll data.
  • Prepare and deliver monthly People Operations reports for leadership and key stakeholders.
  • Maintain accurate personnel files and manage all employee status changes with regular audits to ensure data integrity.
  • Oversee consultant contract administration, including payment processing and ongoing reporting.
  • Partner with the VP of Global People Operations on strategic initiatives and long-term people operations plans.
  • Actively model and contribute to Americares values, work culture and mission.
  • Engage in and contribute to team spaces with openness, global competencies, and a growth mindset.
  • Perform other related duties and special projects as assigned.

Key Outcomes For The Role

Within 90 days, someone successful in this role will:

  • Learn and live the Americares values.
  • Complete all required new hire onboarding trainings.
  • Independently run U.S. payroll.
  • Demonstrate a strong understanding of company benefits and administration needs.
  • Know core compliance processes (I9/EVerify, LOA, FMLA/ADA, and drug testing).
  • Begin to identify and implement targeted People Operations improvements (e.g., updated policies, enhanced HRIS data, improved internal filing systems, etc.).
  • Regularly deliver People Ops dashboards and reports that provide leadership with clear, actionable insights.

Within 6 Months, Someone Successful In This Role Will

  • Fully own endtoend People Operations for U.S. staff, including payroll, benefits, HRIS administration, and core compliance programs, with minimal oversight.
  • Implement meaningful process and policy improvements (e.g., refreshed P&T policies, streamlined onboarding/offboarding and LOA workflows, optimized reporting and dashboards) that strengthen compliance, improve data integrity, and enhance the overall employee experience.

Within 1 Year, Someone Successful In This Role Will

  • Build and consistently maintain a robust People Operations dashboard with key metrics that inform leadership decisions and monitor compliance, equity, and the overall employee systems experience.
  • Establish strong, trusted partnerships with core internal stakeholders (e.g. Distribution Center and Clinics leaders, IT, Finance/Accounting, and Legal, etc).
  • Implement improved, standardized workflows for payroll, benefits, and related reporting; and strengthened U.S. People Operations through updated policies and clean, reliable HRIS and personnel data.

Competencies Required For The Role

  • Deep expertise in U.S. federal, state, and local employment law, including FMLA, ADA, LOA administration, EEO/EEOC compliance, wage and hour requirements, I9/EVerify, and HR policy governance across multistate nonprofit environments.
  • Proven success managing multiple, concurrent, high priority compliance and risk mitigation initiatives, ensuring operational excellence within People & Talent teams.
  • Strong command of HRIS, payroll, and benefits systems, driving accuracy, consistency, and data integrity while optimizing system functionality and user experience.
  • Demonstrated leadership in process improvement, identifying opportunities to streamline workflows, eliminate inefficiencies, and strengthen organizational effectiveness.
  • Experienced people manager and cross functional collaborator who builds trust, fosters teamwork, and drives positive outcomes across diverse internal stakeholder groups.
