Assistant Procurement Manager

🚀 About the Role (Your Impact)

As the Assistant Procurement Manager, your primary mission is to ensure that the "Critical Path" of production never falters. You will support the Procurement Manager in managing a global database of suppliers, ensuring that every button, zipper, and fabric roll arrives on time and within budget. Your accuracy directly affects the speed-to-market of our collections.


🏋️ Responsibilities

1. Order Execution & Tracking

  • Generate and manage Purchase Orders (POs) within the ERP system, ensuring 100% accuracy in SKU details and pricing.
  • Maintain the "Critical Path" document, providing daily updates on fabric arrivals, lab-dip approvals, and shipment departures.
  • Coordinate with logistics partners to track "Landed" costs and clear customs documentation for textile imports.

2. Sample & Quality Coordination

  • Manage the flow of "Pre-Production" (PP) and "Top of Production" (TOP) samples between global factories and the Dubai office.
  • Organize and maintain a comprehensive Fabric & Trim Library, ensuring all swatches are cataloged by composition, weight (GSM), and price.
  • Assist in reviewing lab-dips and strike-offs to ensure color continuity across different garment batches.

3. Vendor & Cost Administration

  • Request and compile "Pro-Forma" invoices and quotes from multiple suppliers to assist in cost-comparison exercises.
  • Conduct initial vetting of new suppliers by collecting compliance certifications (e.g., OEKO-TEX, GRS, or Sedex).
  • Reconcile supplier invoices with delivered goods to ensure the Finance team processes payments without discrepancies.


🎓 Qualifications

1. Educational Background

  • Primary Requirement: Bachelor’s degree in supply chain management, Logistics, Fashion Merchandising, or Business Administration.
  • Relevant Coursework: Preference for candidates who have studied Global Trade, Textile Science, or Cost Accounting.

2. Core Industry Experience

  • Global Sourcing: Proven track record of communicating with overseas factories (e.g., SE Asia, Turkey, or China) and understanding the "Critical Path" of a fashion season.
  • Regulatory Knowledge: Familiarity with UAE import regulations for textiles and international shipping terms (Incoterms 2020).

3. Technical & Software Skills

  • ERP Proficiency: Hands-on experience with procurement modules in ERP systems (e.g., SAP, Oracle, or Microsoft Dynamics) to manage POs and SKU data.
  • Advanced Excel: Must be comfortable with VLOOKUPs, Pivot Tables, and data visualization to track "Landed Costs" and vendor performance.
  • Textile Literacy: Ability to identify fabric compositions, weight (GSM), and construction (e.g., Jersey, Twill, Interlock) to ensure the correct materials are sourced for each design.

4. Analytical & Negotiation Skills

  • Cost Engineering: Ability to break down a "Bill of Materials" (BOM) to understand where costs can be optimized without sacrificing garment quality.
  • Tactical Negotiation: Experience in negotiating MOQs (Minimum Order Quantities) and payment terms with fabric mills and trim suppliers.
  • Quality Assurance Standards: Understanding of AQL (Acceptable Quality Level) standards and the garment inspection process.

5. Soft Skills & Cultural Fit

  • High-Pressure Resilience: The garment industry moves fast; you must be able to manage multiple delivery deadlines simultaneously without losing accuracy.
  • Proactive Problem Solving: When a fabric shipment is delayed at the port, you don’t just report the problem—you provide three alternative solutions.
  • Ethical Mindset: Strong commitment to sustainable sourcing and ensuring all vendors meet global social compliance standards.

  • Multilingual Fluency: Proficiency in English is required; however, candidates with professional working knowledge of Arabic, Filipino, Hindi, Urdu, or Bengali will be given strong priority to better serve our diverse regional landscape.
