The Role

We are looking for a hands-on Event Manager to own the end-to-end delivery of Thinkable tours. This is a remote role with one critical exception: when the show is on, you are on the ground. You will be the operational engine behind every tour  coordinating logistics, keeping the team on schedule, managing the customer and VIP experience, and ensuring every public-facing asset is accurate and on-brand before it goes live.


You will work closely with both the CEO, Head of Operations and Head of Logistics, sitting at the intersection of planning and execution. If you thrive on detail, love the pace of live events, and take personal ownership of outcomes, this role is built for you.


Key Responsibilities1. Tour Project Management
  • Work closely with the Head of Logistics to execute events and manage backend logistics.
  • Own the end-to-end project plan for each assigned tour  from contract confirmation through to post-event wrap-up.
  • Build and maintain tour timelines, task lists, and run-sheets, ensuring all stakeholders know what is due and when.
  • Track deliverables across the team (marketing, design, finance, tech) and escalate blockers before they become problems.
  • Lead the pre-event checklist process and ensure nothing falls through the cracks in the final 72 hours before a show.
  • Conduct post-tour wrap-ups and document learnings into our internal playbook.


2. Tour Logistics & Venue Coordination
  • Manage all logistics for assigned tours: travel bookings, accommodation, freight, accreditation, and venue communication.
  • Serve as the primary point of contact for venues  coordinating bump-in schedules, AV requirements, floor plans, and run-of-show timelines.
  • Liaise with speaker representatives and talent managers to ensure all rider requirements and contractual obligations are met.
  • Travel to events as required to oversee on-the-ground execution and serve as the operational lead on show day.
  • Coordinate VIP cocktail experiences and meet-and-greet logistics where applicable.


3. Marketing Asset QC & Timelines
  • Review all public-facing marketing assets (social graphics, EDMs, ticketing pages, web copy) for accuracy, brand consistency, and compliance before submission for final approval.
  • Maintain the marketing delivery schedule for each tour and hold the team accountable to deadlines.
  • Flag any errors, brand misalignments, or missing information before assets go live.
  • Coordinate with the design and marketing team to ensure assets are delivered on time for key campaign milestones.


4. Customer Experience & VIP Support
  • Oversee the customer support workflow for assigned tours ensuring ticket holders and VIPs receive timely, accurate responses.
  • Manage VIP and meet-and-greet lists, communications, and on-the-day execution.
  • Handle escalations professionally and ensure every attendee interaction reflects the Thinkable brand.
  • Monitor and respond to audience queries in the lead-up to events in coordination with the support team.


Who You Are
  • You have 2–4 years of experience in event management, tour production, or live events coordination.
  • You are obsessively organised and keep multiple moving parts under control without losing your cool.
  • You communicate clearly and proactively and your team always knows where things stand.
  • You are comfortable working across time zones (IST/AEST/GMT) in a fast-moving, distributed team.
  • You take ownership. When something is yours, you see it through no hand-holding required.
  • You are tech-comfortable: project management tools (Asana, ClickUp, or similar), G-Suite, Slack, and ticketing platforms are second nature.
  • You are willing to travel for event execution, sometimes on short notice.


Requirements
  • 2-4 years of event management or live events experience touring or entertainment industry experience is a strong advantage.
  • Demonstrated ability to manage end-to-end event delivery across multiple concurrent projects.
  • Strong written communication skills you will be drafting external-facing communications and internal updates regularly.
  • Familiarity with project management software and ability to maintain detailed task tracking.
  • Ability to read and action venue and talent contracts for operational requirements.
  • Based in Sri Lanka or India, with flexibility to travel internationally for tour execution.
