We are seeking an experienced offshore HR professional who can support U.S.-style HR operations in a confidential, fast-moving, high-accountability environment.
Role Summary
The Offshore HR Specialist / People Operations Coordinator will support recruiting coordination, onboarding and offboarding, employee records, HR documentation, policy follow-up, performance tracking, and internal people operations. The right candidate is discreet, organized, proactive, and comfortable supporting leadership in a professional services environment.
Core Responsibilities
HR Administration & Records
- Maintain accurate employee and contractor records.
- Track agreements, policy acknowledgments, onboarding materials, and HR checklists.
- Support documentation related to attendance, performance, coaching, and team changes.
- Maintain strict confidentiality of all personnel and firm information.
- Coordinate job postings, applicant tracking, interview scheduling, and candidate communication.
- Organize resumes, screening notes, scorecards, and interview feedback.
- Assist with candidate screening using firm-provided criteria.
- Communicate professionally with vendors, recruiters, candidates, and internal stakeholders.
- Manage onboarding and offboarding checklists.
- Coordinate system access requests, training schedules, forms, and policy acknowledgments.
- Track completion of required training and onboarding steps.
- Support exit documentation, access removal coordination, and return-of-property workflows.
- Track employee milestones, reviews, birthdays, anniversaries, and recognition items.
- Assist with internal surveys, HR templates, SOP updates, and process improvements.
- Help monitor completion of recurring HR tasks, trainings, and follow-ups.

- Support updates to HR policies, employee handbook materials, and internal procedures.
- Track compliance-related acknowledgments and recurring employee requirements.
- Flag potential HR issues, documentation gaps, or employee concerns promptly.
- Prior HR, People Operations, Recruiting, or HR Administrative experience.
- Experience supporting a U.S.-based company or U.S.-style HR function.
- Strong English communication skills, written and verbal.
- Excellent organization, follow-through, and attention to detail.
- Ability to handle confidential and sensitive information with discretion.
- Comfort using spreadsheets, email, HR/recruiting tools, project management platforms, and cloud-based document storage.
- Ability to follow SOPs, checklists, and structured workflows.
- Reliable internet connection and professional remote work environment.
- Meaningful workday overlap with U.S. Pacific Time.
- SHRM-CP, SHRM-SCP, PHR, SPHR, or similar HR certification highly preferred.
