About the role
Position Overview
We are seeking a Project Manager who is intelligent, responsive, and an excellent communicator—someone who thrives on delivering impact. This role is ideal for candidates who consistently "punch above their weight class" and are ready to grow within a high-performing team.
Experience in marketing, media, or data analytics is a strong plus, but not required if the candidate demonstrates strong tool proficiency, the right temperament, and a bias for action.
Overall Responsibilities
Planning, Manage, Track and Report on Activities & Deliverables primarily using waterfall methodology with some agile components
Create and manage project plans using Gantt charts (e.g., Smartsheet)
Track and report on project progress using various tools, including Excel Tracker, with a focus on percent-complete vs. baseline (i.e. Estimate vs. Actual)
Support timeline planning, resource allocation, and progress tracking
Core Responsibilities
Meeting Management
- Manage meeting flow and timing
- Record meetings (according to policy)
- Capture and distribute accurate meeting notes manually and/or with AI assistance
- Document key decisions, action items, and next steps
Scheduling & Coordination
- Organize, plan, and schedule meetings with internal teams, clients, and third-party stakeholders
- Ensure timely attendance and availability of necessary information and assets

Follow-Up
- Proactively follow up with stakeholders to gather information, assets, or approvals
- Maintain strong communication to keep projects moving forward
Status Reporting
- Regularly update project status reports
- Track milestones, timelines, and deliverables for visibility and accountability
Advanced Responsibilities (Preferred, Not Required)
- Kanban Workflow Management: Use Kanban boards (e.g., Smartsheet) to track tasks and manage deliverables.
- Activity Oversight: Lead stand-up and status meetings using live boards to identify blockers and drive execution.
- Performance Analysis: Monitor project metrics, compare against baselines, and recommend corrective actions.

- Project Management 5 – 7+ years
- Business Process Management (BPM) 5 – 7+ years
- Project Planning & Control 5 – 7+ years
- Agile Methodology 5 – 7+ years
- Kanban Boards/Workflow Management – 2–3 years
- Leadership Experience – demonstrated ability to lead or drive cross-functional workstreams
- Communication – excellent verbal and written skills with client-facing confidence
- Organization – high attention to detail and ability to manage multiple concurrent tasks
Preferred Skills
- Marketing, Media, or Data Analytics Background – strongly preferred, not mandatory
- Excel Proficiency – experience using spreadsheets for reporting/tracking
- Smartsheet or Similar PM Tools – experience with tools like Smartsheet, Asana, Trello, etc.
