HR Onboarding Coordinator
Location: Fully Remote (U.S.)
Employment Type: Contract | 6 Months
Schedule: Monday–Friday | Flexible between 7:00 AM–6:00 PM CST (40 hours per week)
Compensation: $25.00–$26.00 per hour
Position Overview
Wheeler Staffing Partners is seeking an experienced HR Onboarding Coordinator for a fully remote, six-month contract opportunity. This role is responsible for managing the pre-employment onboarding process from verbal offer acceptance through an employee's first day while ensuring compliance with federal, state, and company hiring requirements.
The ideal candidate has extensive experience coordinating high-volume onboarding, employment screenings, and HR compliance activities while delivering an exceptional candidate experience. This position works closely with recruiters, hiring managers, and HR teams to ensure all onboarding documentation, employment verifications, and compliance requirements are completed accurately and on time.
Key Responsibilities
New Hire Onboarding
- Manage the onboarding process from verbal offer acceptance through the employee's first day.
- Prepare, distribute, and track offer letters and onboarding documentation.
- Guide candidates through employment applications and onboarding requirements.
- Ensure all onboarding activities are completed accurately and within established timelines.
- Deliver a positive, efficient onboarding experience for new hires.
Background Screening & Compliance
- Coordinate background checks, employment verifications, drug screenings, and reference checks.
- Manage additional pre-employment requirements including fingerprinting, healthcare sanction screenings, license verification, and registry searches.
- Review background screening results in accordance with company policies, federal and state regulations, and Fair Credit Reporting Act (FCRA) guidelines.
- Partner with recruiters and HR to resolve compliance issues and determine appropriate next steps.
- Maintain accurate compliance documentation and audit-ready records.

HR Systems & Documentation
- Process onboarding activities within Workday and other HR systems.
- Maintain employee records and onboarding documentation.
- Assist with Form I-9 completion and E-Verify compliance.
- Coordinate sign-on bonus documentation and tracking.
- Ensure all required pre-employment documents are complete, accurate, and properly maintained.
Candidate & Internal Support
- Serve as the primary point of contact for new hire onboarding questions.
- Support recruiters, hiring managers, and HR teams by resolving onboarding and compliance issues.
- Provide exceptional customer service while maintaining confidentiality and professionalism.
- Participate in process improvement initiatives and special projects as assigned.
Qualifications
Required
- Minimum of five (5) years of HR administration, onboarding, recruiting coordination, or related experience.
- Experience managing high-volume onboarding and pre-employment compliance processes.
- Knowledge of employment laws, hiring practices, and onboarding procedures.
- Understanding of Fair Credit Reporting Act (FCRA) requirements and employment screening processes.
- Strong organizational, time management, and multitasking skills.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
- Strong attention to detail and commitment to accuracy.
- Ability to work independently in a fully remote environment while collaborating across multiple teams.
