Under general supervision, the Clinical Operations Manager directs and oversees administrative operations for the Department of Psychiatry Clinical Division and executive support functions. This position supervises administrative staff across clinical and central department operations, ensuring efficient workflow, policy compliance, and quality service delivery. The incumbent directs the work of administrative personnel including the executive assistant supporting the Chair's office, clinical division staff, and administrative students. Responsibilities include distributing work assignments, monitoring progress, training staff, conducting performance evaluations, and ensuring adherence to departmental policies and procedures.

Serves as primary point of contact for administrative operational issues, coordinating clinical division activities including call coverage management, provider onboarding processes, and space coordination. Directs complex administrative processes, oversees policy implementation, and ensures quality customer service to faculty, staff, and external stakeholders. Uses supervisory skills to manage multiple operational areas simultaneously, resolve operational discrepancies, and maintain efficient administrative support systems across all departmental functions. Assist with other project and miscellaneous tasks as required.

Minimum Qualifications

  • Seven years of related experience, education/training, OR a Bachelor’s degree in related area plus three years of related experience/training.
  • Working knowledge of the organization's processes and procedures, rules and regulations.
  • Working knowledge of common organization-specific and other computer application programs.
  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling to effectively motivate others.
  • Skills to evaluate issues and identify resolutions. Ability to make decisions independently. Demonstrated experience analyzing and identifying problems, independently resolving discrepancies and recommending solutions.
  • Strong service orientation with the ability to effectively manage multiple priorities.
  • Proven ability to supervise, determine work priorities, and provide constructive feedback. Ability to problem solve involving quality review of individual cases, materials, or circumstances to determine the appropriate action.
  • Demonstrated experience in conflict resolution, organization, planning, and management practice skills, as well as strong negotiation skills. Ability to advise employees on a wide variety of problems with tact, diplomacy, and sensitivity.
  • Demonstrated experience in effectively working with managerial, clinical, research, and administrative staff in a university and/or clinical setting.
  • Strong demonstrated experience in analyzing, organizing, prioritizing, and delegating tasks on all administrative levels to ensure efficient operations.
  • Demonstrated ability to effectively participate in short and long range planning for the administrative needs of the unit.
  • Proven ability to follow direction in the form of guidelines, which will serve as the overall goals of the department.
  • Proven ability to maintain confidentiality.
  • Demonstrated experience serving as an administrative lead and/or supervisor to a team of administrative support professionals.
  • Knowledge of UC policies and procedures related to purchasing, travel, and disbursements.
  • Demonstrated experience coordinating complex space management activities including project planning, occupant coordination, and vendor liaison relationships.
  • Demonstrated experience facilitating call coverage calendars and coordinating clinical operations using scheduling systems such as Qgenda.
  • Demonstrated experience coordinating provider onboarding processes including credentialing, privileging, and payer enrollment activities.
  • Demonstrated experience in training program development and implementation for administrative staff including competency assessment and performance improvement.
  • Demonstrated experience coordinating faculty relocation processes and managing complex logistics involving multiple departments and external vendors.
  • Demonstrated experience in Concur processing and purchasing coordination including policy interpretation and compliance oversight.
  • Experience in meeting coordination and logistics including agenda preparation, minute-taking, and action item follow-up for executive-level meetings.
  • Demonstrated ability to coordinate committee activities and event planning including social events and community-building initiatives.

Preferred Qualifications

  • Demonstrated experience in managing administrative and clinical funds including budget monitoring, cost transfers, and financial reconciliation.
  • Knowledge of UC policies and procedures related to the preparation of forms for academic review files, including the Biography-Bibliography form.
  • Experience with survey administration platforms such as Qualtrics and understanding of constructive receipt policy requirements.

Pay Transparency Act

Annual Full Pay Range: $73,800 - $131,200 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $35.34 - $62.84

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
