CLIENT BACKGROUND
Our client is a California-based quick service restaurant chain, specializing in high-quality chicken dishes. Founded in 2016, they currently operate 18 company-owned restaurants and are expanding through franchising. Driven by outstanding unit-level economics, they’ve partnered with exceptional private equity investors to grow their base of company-owned stores and launched a franchise program to further accelerate growth. Recently, they won Nation's Restaurant News' 2023 Chicken Showdown, and they aim to reinvent the fast food experience. DUTIES AND RESPONSIBILITIES:
HRIS Systems Ownership & Data Integrity
- Serve as primary HRIS system lead and data integrity lead
- Maintain and optimize HRIS platforms (Paylocity experience strongly preferred)
- Conduct ongoing full-database audits and personnel file data scrubs
- Ensure accuracy of all employee lifecycle data (status changes, compensation, job codes, reporting relationships, location assignments, workers compensation case upload and data management)
- Maintain organizational structure accuracy within HRIS
- Manage system permissions, workflows, and data governance protocols
- Partner with Payroll, Finance, and Operations to ensure system alignment
Payroll & Compliance Data Oversight

- Conduct biweekly payroll data audits prior to and post payroll runs
- Reconcile OT, time and a half, meal waivers to ensure compliance and proper pay
- Validate pay rates, overtime calculations, bonuses, deductions, and accrual balances
- Audit employee pay statements for compliance and accuracy
- Support multi-location California compliance standards, including San Francisco reporting requirements
- Maintain audit-ready payroll documentation
- Ensure proper maintenance of I-9s, mandated compliance documents, and digital personnel files
- Support workers’ compensation case intake tracking and documentation reporting
Dashboard Development & Reporting
- Build and maintain dynamic People dashboards (headcount, turnover, labor %, comp ratios, overtime, LOA tracking, safety metrics, engagement metrics, etc.)
- Develop executive-ready monthly, quarterly, and annual reporting packages
- Produce census reporting and benefits eligibility reporting
- Create compensation and merit reporting models
- Partner with Head of People & Culture and Finance to align reporting with board-level and executive KPIs
- Ensure timely distribution of recurring people reports to appropriate stakeholders
Onboarding & Offboarding
- Manage onboard and offboard paperwork processing and ensure all forms are accurately completed
- Ensure timely resignation and offboarding steps are taken, and all systems are scrubbed
Data Scrubbing & Process Improvement
- Perform systematic quarterly and annual deep data scrubs
- Identify trends, discrepancies, and risk exposure in employee data
- Develop corrective action workflows for data inconsistencies
- Create documentation standards and SOPs for HRIS processes
- Recommend automation opportunities to reduce manual entry errors
- Continuously improve data reporting frameworks and visualization clarity
Compensation & Workforce Analytics
- Support annual merit cycles and compensation analysis
- Maintain compensation bands and job architecture data within HRIS
- Conduct comp ratio and pay equity reporting
- Provide workforce planning data to support expansion and franchise growth
- Analyze turnover, retention, and engagement metrics to inform strategic decisions

QUALIFICATIONS
- Bachelor’s degree in Business, Information Systems, HR, Data Analytics, or related field
- 3 years of HRIS experience in US companies (California experience preferred) with 5-7 years overall experience in an HR operational role.
- Advanced Excel expertise (required)
- Deep working knowledge of HRIS systems (Paylocity strongly preferred)
- Proven experience conducting payroll audits and compliance reviews
- Demonstrated ability to build HR dashboards and executive reporting
- Strong understanding of Federal, California, and San Francisco employment compliance reporting
- Experience managing multi-location hourly workforce data
- Knowledge of HR data governance, security, and confidentiality standards
- Strong analytical, mathematical, and reconciliation skills
- Excellent documentation and process-mapping skills
- Ability to work independently in a fast-paced, high-growth environment
- Restaurant, retail, hospitality, or multi-unit experience preferred
