Roles and Responsibilities:

 

Recruiting:

●       Oversee recruiting processes and ensure timely completion of hiring cycles in collaboration with the head recruiter.

●       Review applicants and conduct prep sessions and final interviews with top candidates.

●       Provide clients with updates and insights on hiring progress.

●       Drive the recruiting process to completion, ensuring all client expectations are met.

Administrative & Operations

●       Lead and supervise all processes related to onboarding, offboarding, and managing internal systems.

●       Ensure documentation, trackers, and client updates are completed accurately and on time.

●       Guide the admin associate and step in to assist with operational tasks when required.

●       Identify and implement process improvements to enhance operational efficiency.

Accounting

●       Oversee invoicing and receivables, ensuring timely follow-ups for unpaid invoices.

●       Supervise payroll preparation and monthly updates.

●       Account Receivables- track/follow up with clients if payment was not received on time.

●       Collaborate with owner on ad hoc financial reporting and P&L updates

HR/Ad Hoc

●       Collaborate with the HR team to develop strategies for improving retention.

●       Address day-to-day HR inquiries and manage HR projects as needed.

General Leadership:

●       Provide mentorship and guidance to the admin associate, ensuring accountability and professional development.

●       Act as the central point of contact for ensuring smooth operations across recruiting, administration, and HR functions.


Skills:

●     Strong organizational skills, attention to detail, and ability to manage multiple tasks.

●     Ability to manage time effectively and able to adapt to diverse tasks.

●     Effective written and verbal communication skills

●     Professionalism, reliability, and a proactive approach to the task

 

Qualifications:

●     Bachelor's Degree (Required)

●     Proven ability to manage and oversee diverse administrative processes with minimal oversight.

●     Ability to identify and drive process improvements

●     Proficiency in Microsoft Office Suite (excel, word, PowerPoint)

●     Professional experience in related field (3.5 years minimum)

●     High-speed wired internet connection (200 mbps min.)

●     Windows 10/11 or Mac (8 GB RAM, Intel i5 or similar)

●     Advanced English (Required)

 

Technology: Google Suites (mainly Excel), Papaya Global, DocuSign, QuickBooks

Physical Setting: Fully Remote

Schedule: Monday to Friday - 9:00 am – 6:00 m EST with a one-hour lunch break
