Schedule: Morning Shift

Job Description

The purpose of this position is to support, facilitate, and manage administrative and operational tasks within the People Operations function. The People Operations Administrator is required to operate across the Audit and Advisory & Consulting service lines, supporting best practice People Operations outcomes.

Work Schedule: 6 AM 3 PM

Key Responsibilities

Employee And Manager Requests (Via Jira)

  • Respond to JIRA tickets for all People Operations categories.
  • Validate tickets, liaise with relevant stakeholders, and process changes accordingly.
  • Update employee records in Oracle Apollo (HRIS).
  • Prepare all People and Culture documentation required (change to work letters, jury duty exemption letters).
  • Respond to general People Operations queries (employment certification letters, change of name requests).
  • Process contractor and employee terminations in Apollo.
  • Handle entry-level workplace health and safety queries (first aid supplies).
  • Generate work experience letters.
  • Support new starter processes.
  • Review and respond to complex queries such as parental leave and dynamic international working.

Invoicing And Approvals

  • Process invoices for the People and Culture function via the Concur system.
  • Approve and review internal function purchase orders (end of financial year and end of calendar year events) in Concur.

Talent Acquisition Inbox Administration

  • Manage the Talent Acquisition inbox.
  • Respond to all Tier 1 queries within SLA period.
  • Escalate queries above Tier 1 to the appropriate Talent Acquisition team member.

Visa Management

  • Conduct Visa Entitlement Verification Online checks for all employees on visas every three months.
  • Upload VEVO documents to HRIS.
  • Notify internal visa advisor of any negative findings or discrepancies with HRIS records.

Reward System Administration

  • Handle administration tasks related to the Findex Reward system (Perkbox).
  • Respond to Perkbox-related queries via Jira including general inquiries, system support, usage guidance, and user guides.

Additional Information

  • This role is based offshore and operates in a fully remote work environment.
  • Role requires working-from-home aligned to Melbourne time zone.

Key Attributes

  • Represent Findex professionally and in accordance with key behaviors when liaising with internal staff and external providers.
  • Maintain confidentiality in all matters.

Technical Skills

  • Beginner to intermediate MS Office skills (Word, PowerPoint, Excel, Outlook).
  • Experience with HRIS systems such as Ascender Pay, Oracle HCM, SAP SuccessFactors, or Workday is highly regarded.
  • Candidates with strong HRIS or People Operations experience in shared services or BPO environments supporting AU or NZ clients will be considered.

Qualifications

  • Bachelor's degree in human resources, psychology, business administration, or related discipline (preferred).
  • Equivalent work experience in HR operations or people administration will also be considered.
  • Ideally with a background in BPO or a multinational Australian or New Zealand company.

Practical Experience

  • Minimum 2 years experience in a similar role.
  • BPO or multinational experience supporting AU or NZ clients is highly regarded.
  • Demonstrated ability to communicate effectively with stakeholders.
  • Previous experience working in a remote or virtual environment is advantageous.
